The Enrollment Specialist has responsibility for overseeing enrollment and participation for all Broadlane customers. This includes enrollment for contracts that require Letters of Commitment (LOC) where vendor acknowledgement is required. It also includes managing the various Enrollment and Participation statuses based on data from several sources. The enrollment specialist must be able to follow a complex process to ensure accurate results are visible to the customer. The setting of Enrollment and Participation have a direct effect on what the customer and Broadlane’s account management team views in the Enrollment Center application, as well as many price verification and enrollment reports. Below is a detailed description of the major responsibilities and requirements.
Identify type of LOC, review for completeness and accuracy of customer information and form.
Route customer signed LOCs according to the process, as defined by type (group or independent), by customer and by contract specific LOC instructions.
Track LOCs for vendor response. Send reminders and escalate as appropriate.
When confirmed responses are received, set participation, participation statuses and enrollment statuses appropriately, within 24-48 hours. Send a notification to the appropriate account executive. Store all confirmation emails and LOCs in the appropriate place on the U drive. Link the document(s) to the appropriate enrollment record.
When confirmed responses are not received, or responses deny customer access, associate must know the appropriate parties to involve for escalation, and work with the vendor to resolve. Participation and Enrollment statuses must be updated to reflect the negotiation status.
Monitor escalated LOCs for updates, or need for further escalation.
Regularly reconcile LOC contracts to verify documentation and customer statuses are in sync.
Maintain contract specific enrollment instructions in the Master LOC listing for all assigned LOC contracts.
Responsible for maintaining appropriate vendor LOC contact information in GPO Office and on the vendor contact spreadsheet.
Constant monitoring of the LOCAdmin mailbox on a rotational basis with other team members. Must review each incoming email to determine type of request or form received, determine the appropriate person to address and forward the email.
For non-LOC enrollment requests, associate must review the request and determine if appropriate. If so, they must set participation effective dates, then statuses for participation and enrollment.
For all vendor responses to new customer announcements, associate must determine applicable contract and access tier, if available to the customer. Evaluate the vendors’ response to determine if participation should be set, and the appropriate statuses for participation and enrollment. Also, determine if additional information or paperwork is required by the vendor and communicate to client care.
Assist client care by preparing detailed worksheets for customers showing unaddressed LOC contracts, as requested.
Analyze and process vendor data received for contracts showing Broadlane customers. Determine appropriate tier level, when necessary, and set participation effective date and statuses for participation and enrollment. If spreadsheet deals with non-compliancy, expire and reset participation and statuses based on vendor’s effective date of new tier level.
Work with procurement to reset customer participation information based on purchase order history and confirmation.
Maintain all non-LOC documentation, including vendor responses and client care requests, in the appropriate folder on the shared drives. Associate must create the folders and advise client care where to locate.
Regularly reconcile customer’s participation information to make sure all non-participation tiers have correct statuses, all single tier contracts have been set, as appropriate for the customer, and that enrollment statuses have been updated.
Attend client care education sessions given by contracting to learn about roll out of new contracts, LOC requirements, and any other enrollment considerations.
Assist with new employee training, as required.

Accuracy
Required Experience and Education
4 year degree or equivalent preferred
1-3 years experience
Knowledge of Letters of Commitment and their usage in the Healthcare industry preferred
