SUMMARY: Due to an increase in sales and contract volume, we are looking for an individual with previous contracts processing experience to work with us on a part-time/temp basis for 20 hours per week. Currently this would be a temporary role with the possibility of the role becoming a full-time/perm role in the future. The rate of pay for this role is $15-$17 per hour depending on experience.

This is a high profile position involving interaction with Executive Management, Sales. Finance, Client Services, Legal and IT Support Teams. Primary responsibilities include sales support, compliance review and processing of contracts into automated contract management system for proper revenue recognition, preparing standard & ad hoc managerial reports and process improvements.

DUTIES AND RESPONSIBILITIES:

  • Provide support and guidance to Sales and other teams on complex exclusivity issues, pricing elements and interpreting Selling Policies and Procedures, exercising sound business judgment and decision-making skills
  • Promptly and accurately answer questions and requests
  • Determine necessary actions to insure compliance o Assist with maintenance of department’s intranet site
  • Escalate issues to manager as needed

  • Perform independent analysis and review of contract & addenda packets to insure compliance, completeness, and correctness
  • Prioritizes workload to insure timely processing while remaining high level of accuracy and quality
  • Utilize Selling Policies & Procedures and other documentation
  • Conduct exclusivity, pricing and other compliance validation
  • Confer with manager and others on unusual situations
  • Provide corrective action steps to submitters to resolve compliance issues

  • Accurately input and maintain changes to contract & addenda records stored in the automated contract information system (CATS)
  • Accurately set-up and maintain exclusivity commitments
  • Research and resolve MCLU generation and other category availability issues
  • Accurately set-up and maintain accurate pricing elements
  • Determine and input appropriate exception pricing methodology, insuring all approvals are obtained
  • Research and resolve pricing issue discrepancies
  • Accurately set-up billing number records to facilitate proper revenue recognition, invoicing and collections
  • Collaborate with Billing Department to identify the accounting impact of contractual terms
  • Research and resolve billing number records issues

  • Compile, review and publish managerial reports for Exclusivity/Category Availability and Contracts & Addenda
  • Compile, review and publish Exclusivity/Category Availability Reports for company-wide use
  • Prepare ad hoc reports & analysis as requested

  • Collaborate with manager and various teams on process improvements and policies changes & implementations
  • Identify areas of improvements and suggest potential corrective actions & improvements
  • Understand impact of actions on complex, inter-related systems, seeking out additional information
  • Work with various teams & process owners to determine necessary changes and assist in implementing changes

  • Assist manager with special projects and other duties as assigned.

    QUALIFICATIONS:

    EDUCATION: Bachelor’s Degree or equivalent combination of college course-work and related work experience

    EXPERIENCE: 3+ years Sales Support, Operations or Accounting experience

  • Familiarity with Catalina Policies & Procedures (particular Exclusivity) and automated systems, though not required, would be a plus.
