Description: The IT department is looking for an Administrative Assistant to join their team! This position will directly support one Director and indirectly support a team of two Managers, one Associate Manager, and several team members.
The ideal candidate will be a high-energy individual who is self directed and easily able to handle multiple and changing priorities. Strong computer and communication skills are required. Must be a team player. Responsibilities to include basic administrative work, such as scheduling and maintaining various demanding calendars, answering phones, some travel coordination, expense report processing, with additional responsibility for meeting and offsite planning and department activity planning.General confidentiality due to information sensitivity is a must. Core Responsibilities: Time-manage Director by continuously tracking, anticipating, prioritizing, and owning very heavy calendar. Schedule complex meetings with various attendees both within IT and outside of IT, as well as multiple time zones. Review and track expense reports, code and track invoices and help to manage and reconcile budgets for department. Back up other Assistants in the department as needed. Provide assistance with creating and/or updating various Power Point presentations. Some travel arranging. Team with other Administrative Assistants in and out of the department to: - Prepare and arrange monthly department meetings, birthdays, anniversaries, team events, new hire welcome and off-sites.
- Manage workload and coordinate Management calendars.
- Coordinate weekly & monthly team celebrations to promote company culture and boost morale.
Must have 5-7 years administrative experience. Knowledge of PowerPoint, Excel, Outlook, and Word are also required – IT experience/knowledge a plus. Proven ability to manage budgets is required. Strong verbal and written communication skills. Strong interpersonal and advanced organizational skills. Detail oriented and self-direction is a must. Highly organized. Ability to multi-task efficiently in a fast-paced, high-volume, and constantly changing environment with minimum direct supervision and under tight deadlines. Ability to anticipate, prioritize and meet the needs of a Director, three Managers, and other team members while demonstrating Customer Mania. Professional demeanor. Flexibility, high energy level, detail & results oriented, and strong follow through skills are highly valued. Time management skills are essential.MNST
