We are currently recruiting for an Operations Manager within our RMS Services department.
Job Summary
Under the general direction and supervision of the Sr. Vice President of Facilities Management, the incumbent will be responsible for the day-to-day management of the designated Record Center and to ensure that the contractual obligations are met within the established budget and according to RMS standards of operation.
Essential Functions
Duties and Responsibilities
The Record Center Director duties and responsibilities include (but are not limited to):
Human Resources
  • Interview and hire staff with background and experience consistent with job requirements
  • Train staff (or insure that staff is trained) in privacy, confidentiality, use and disclosure of patient information in accordance with RMS policy, JCAHO, HIPAA, and state regulations
  • Train staff (or ensure that staff is trained) in all job responsibilities and conduct competency assessments for key functions at 30, 60 and 90 days
  • Ensure that staff performs all job functions according to policy
  • Conduct corrective action as required according to RMS policy
  • Conduct all evaluations in a timely, fair and accurate manner
    Operating Procedures:
  • Know and understand all Record Center Operating Procedures
  • Know and understand all hospital operating procedures as they relate to Record Center operations
  • Ensure staff follow all procedures
    Customer Service:
  • Establish positive, professional relationship with client
  • Follow-up on all questions and issues in a timely manner
  • Meet with client on a regular basis
  • Become part of hospital’s management team and anticipates record management needs
    Contractual Obligation
  • Know and understand the scope of responsibilities within the contract
  • Operate only within the scope of responsibilities covered by the contract
  • Communicate scope change requests to VP and/or Regional Sales Manager
  • Meet all contractual obligations
    Fiscal Responsibility
  • Operate within staffing budget
  • Operate within non-salary budget
  • Ensure "Unit of Service" billing information is accurate and submitted to head office each month (if applicable)
  • Identify opportunities to decrease costs while still meeting full contract obligations
  • Identify other areas of services that may be offered to client
    Reporting Responsibility
  • Complete payroll records each week accurately and in a timely manner
  • Complete statistical reports daily and analyzed retrieval rate to insure it meets contractual obligations
  • Complete non-salary expense reports monthly accurately and in a timely manner
  • Maintain accurate petty cash records
    Facility and Equipment Maintenance
  • Ensure facility is clean and orderly
  • Ensure facility equipment (phone, heat, air conditioning, shelving, conveyor, security system, etc) is operating properly and all preventive maintenance contracts are in place and maintenance is up to date
  • Ensure vehicles maintenance program is being maintained and that all vehicles are clean and safe
  • Ensure all hospital equipment is maintained and used properly
  • Ensure RMS provided office equipment is maintained and used properly.
  • Ensure that if Hospital PC is provided to RC Director to access hospital systems that no RMS business is every conducted on Hospital PC
  • Ensure RMS PC is backed up weekly and no RMS information is ever deleted or destroyed.
    Corporate Responsibility
  • Maintain all proprietary and confidential corporate policies and procedures in a safe and secure manner
  • Keep confidential all corporate costs, salary information, staffing information, wage ranges and other RMS business records
  • Ensure that all computer information is backed up regularly and that back ups are kept in a secure area
    Retention and Destruction Responsibility
  • Within scope of contract, insures records stored are within retention
  • Insures that all authorized destruction is completed timely and following required confidential destruction process



  • Job Requirements


    KNOWLEDGE, SKILLS, AND ABILITIES
    Bachelor’s degree in management preferred or equivalent work experience.
    Business Expertise:  2-5 years previous ROI experience required.
    Leadership: Must be able to motivate field staff to achieve desired productivity and quality assurance standards.
    Problem Solving: High degree of organization and planning skills required. Must be able to set and manage priorities as the needs of the business line develop.
    Nature of Impact: Successful management of ROI operations will contribute to customer satisfaction thereby expanding the reference contacts.
    Interpersonal Skills: Must possess strong communication skills, both personal and written. Excellent customer service skills required.
    Licenses/Certifications/Experience Required:
    RHIA or RHIT credentials
    ROI (release of Information)
    Imaging (also known as electronic health records (HER), scanning)
