Description

As an office manager / senior administrative assistant in J.P. Morgan's San Francisco office, your responsibilities will reflect variety and complexity, requiring judgment and experience to successfully accomplish tasks with limited direct supervision.  You will apply well-honed skills and adapt procedures, processes and techniques to the completion of assignments. Daily, you will work under limited supervision, receiving instruction on new assignments. 

 

Responsibilities include (but are not limited to):

 

1. Office Management:

-On-boarding, Off-boarding, Transfers

-Communication with larger office management teams (North America & West regions)

-Oversee office equipment including maintenance and upgrades

-Coordination of floor plan (moves, etc.)

-Invoice processing

-Timekeeping for non-exempt employees

-Temp staff procurement

-Supply room maintenance

 

2. Facilities:

-Security/Access management (visitor badges, system approvals, etc.)

-Direct contact for Facilities issues for approx. 100 employees

-Pantry maintenance

-Conference Room Coordination

 

3. Information Technology (IT)

-Coordination of IT requests and issues

-Maintain inventory of equipment & manage upgrade process

 

4. Business Continuity

-Maintain emergency contact info in several systems & execute periodic tests,

 

5.Assistant support

-Provide assistant support to several bankers (Analyst and Associate level)

Requirements
  • College degree or up to 4 years of administrative experience preferred
  • Skills include accurate typing and proofreading, working familiarity with widely used software packages e.g. Word, Excel, and Power Point.  MS Access skills are a plus.
  • Stronginterpersonal and communication skills
  • Strong detail orientation and organization skills
  • Energy and willingness to learn
