Requirements
The Accounting Assistant is responsible for the daily processing of account payable data and providing basic administrative support.
Responsibilities:
• Collect and enter all purchase orders and invoices into Peachtree
• Verify that all PO’s and invoices have proper authorization, job codes and proper documentation
• Prepare checks for mailing after signature
• File and organize general & financial documents; including the new vendor/invoice filing system
• Complete fixed asset portion of monthly balance sheet recons.
• Assist accounting staff in the assimilation of financial data and creation of financial packets and presentations.
• Backup for the reception desk
• Check & Transfer messages,
• Check in guests with guest book and badges,
• Manage conference room scheduling,
• Provide clerical support
• Answering front and back doors
• Act as general resource to assist employees in identifying proper administrative processes
• Order all office supplies
• Maintain and purchase break room supplies
• Monitor and perform cleaning and maintenance of the coffee machines
• Act as liaison for maintenance and repair of vending machines and mail room copy machine.
• Communicates daily with administrative and financial team including updates on various tasks
Qualifications:
The Accounting Assistant will have a High School diploma and 2+ years experience in accounts payable, accounting and administrative support, or an equivalent combination of education and experience. Must have excellent communication skills and strong MSWord and Excel skills.
