Description Volt's customer, one of the Central Valley's leading engineering service firms, is currently seeking a dynamic administrative assistant. This position will be a direct hire and the selected individual will receive the benefits offered by the organization which include Medical Insurance, Paid Vacations, Paid Holidays, Paid Sick Time and 401K to name a few.

Volt and its customer are not only looking for candidates that possess superior clerical and administrative skills such as typing, filing and MS Office, but also candidates that have an innate ability to quickly re-prioritize based on needs assessment, the ability to work in a high-pressure and often changing environment, and a strong desire to see the company succeed.

This key role will act as the Administrative Assistant for Materials Inspections Department. The sole purpose of this role is to develop and maintain professional client contact, billing, and assist the materials inspections department in daily operations.

Qualified Candidates will:

  • Perform quality work within deadlines; with or without direct supervision.

  • Have the ability to interact professionally with other employees, customers and suppliers.

  • Work effectively as both a team member and an individual contributor.

  • Understand the necessity for communicating and coordinating work efforts with other employees and organizations.

    Primary responsibilities will include, but not be limited to the following:

  • Monthly Billing

  • Prepare Materials Inspection Reports, Special Inspection letters, Work Orders and Invoicing.

  • Submit project information for project numbers.

  • Make phone calls to clients to ascertain the correct project name, address, permit number, plan check number and correct billing information, who receive the reports (cc list) and DSA file and application numbers.

  • Process project information to be reviewed by the Materials Inspection Manager.

  • Routine Job Tracking and Reporting.

  • Accurate and pro-active file maintenance to include work orders, permits, employee certifications, and the like.
  • Requirements The chosen candidate who will perform in this role successfully, will possess the following criteria:

  • 1-2 years of prior administrative functions in a related field or industry.

  • Experience with standard office equipment including a computer, phone, copier, and fax machine.

  • Computer skills will be assessed and qualified candidates will demonstrate proficiency in typing (40WPM), Microsoft Word and Excel with a score near 80 percentile, e-mail etiquette, and database work.

  • High School diploma or equivalent.

  • Valid CA driver’s license, safe driving record, and evidence of insurance.

  • Value good attendance and punctuality.

  • Demonstrate strategic thinking, organization, and problem solving.
