SECRETARY TO MANAGER/DIRECTOR

 

 

Perform a broad range of secretarial duties or typing assignments for Director(s) or Manager(s) using a computer
and appropriate software packages.
 
Performs standard and/or advanced confidential secretarial duties, working within established parameters. Prepares correspondence, memoranda, reports, etc.Composes routine correspondence and memoranda. Screens telephone calls and receives and directs visitors, and may resolve routine inquiries. Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements. Prepares and distributes minutes of meetings. Other duties may be assigned. 
Requirements

MUST PASS SECRETARIAL SELECTION PROCESS, INCLUDING SKILLS ASSESSMENT

(Consists of general aptitude:  cognitive, verbal, and quantitative skills in addition to typing and industry PC software)

  • High School Graduate or GED equivalent required.
  • Two (2) years of secretarial or related experience required.
  • Typing speed of 45 w.p.m. required.
  • Proficient in the use of PC applications, i.e., Excel, Word, and PowerPoint and several types of office equipment.
  • Good verbal and written communication skills required.
  • Proficiency in business English.
  • Must pass secretarial testing process.
  • Other related skills and/or abilities may be required to perform this job.  This position is responsible for coordinating all facility issues for Portage, Holland, Muskegon and other offices as necessary.  This position is also responsible for all mail room activities such as UPS, US postal services, and maintaining office supplies and marketing materials.

DEPARTMENTAL REQUIREMENTS:

  • Must be able to perform advanced, diversified, and confidential secretarial and administrative duties while working within general established guidelines, using judgement and discretion, including initiation of routine and non-routine correspondence and memos.
  • Must be able to screen and resolve routine and some complex inquiries in the absence of Managers.
  • Must be able to facilitate and coordinate corporate programs within assigned or identified divisional departments.
  • Excellent interpersonal skills (verbal and written) to effectively communicate with all levels of personell - internally and externally.
  • Excellent verbal and written communication skills required.
  • Ability to make decisions within scope of responsibility.
  • Advanced proficiency with current industry standard PC word and presentation applications (Microsoft Office, Word, Excel and PowerPoint).
  • Proficiency using corporate Multifunctional Devices (Ricoh).
  • Excellent organizational skills to prioritize multiple assignments.
  • Budget knowledge and experience.
  • Experience in filing and maintenance of departmental records.
