Description
The PBX/Pre-Admission Specialist is primarily responsible for answering the agency's incoming lines, troubleshooting telephone system problems, as well as greeting clients and guests. This position also conducts pre-admission (financial screening) as well as annual financial reviews.
ESSENTIAL JOB FUNCTIONS:
1. Opens the second floor reception area, enters on the white board "on call" and "duty officer" clinical information.
2. Responsible for morning "set-up" of waiting room area that includes checking for inappropriate reading/viewing materials, placing chairs, toys, art material in appropriate place.
3. Greets and checks in clients and guests on the second floor, notifies clinical staff of their client(s) arrival.
4. Answers telephone calls and makes necessary connections.
5. Assists potential clients with general questions about agency services and directs to telephone screeners as appropriate.
6. Screens call for any emergency or urgent client situations and directs to appropriate on-call therapist.
7. Updates in the in-house, the annual Payor Financial Information (PFI) form, responsible for letters I - P. Updates PFI's per the Change of Status form for all 1975 cases (including Cal-Works and Northpoint).
8. Enters all pre-admission information into FileMaker Pro. Assembles pre-admission paperwork and forwards to appropriate staff.
9. Checks the faxes from the previous evening each morning, and delivers them to appropriate staff in their mailboxes.
10. Checks copier and fax machines for paper supply, replenish when necessary.
11. Provides coverage for other Pre-Admission Specialist's reception window and job functions.
12. Assists other departments with various clerical duties as may arise in the course of the day; obtains prior approval from Administrative Supervisor.

Requirements
BILINGUAL IN ENGLISH / SPANISH REQUIRED
WORK SCHEDULE: (subject to change based on Center's needs)
Day: Monday through Friday
Hours: 8:30am - 5:30 pm
Workweek: 40 hours (Full Time)
EDUCATION:
Some college preferred.

13. Must have good interpersonal skills.
