Description Orange Bowl/ Downtown Area: Non profit organization seeks Administrative Assistant. 
Duties include: typing of minutes, schedule and organize meetings,  follow up with board members and assist with office needs, also have a creative side to create flyers/brochures. Able to work independently and a quick learner. 

Responsibilities:

*    Agenda, minutes and follow-up for:
        -Board of Directors
        -Executive Committee
        -Key Contact/Legislative Committee
        -Company's Nominating Committee
        -Others as may be needed

*    Meeting notices and attendance follow-up for above
*    Confirmation calls day of meeting for above
*    Order food, set up kitchen and meeting room as appropriate for above
*    Company State Reports
*    Handle all building and equipment maintenance/repair, etc.
*    Schedule Board member speakers for all Hospital Medical Staff Meetings
*    Create all flyers, program booklets, invitations, etc.
*    Attend Doctors Day event, Company's Annual Banquet, Company's Annual Seminar day; other events as may be scheduled.
*    Maintain/update procedures manual
*    Maintain/update web site manual
*    Maintain/update listing of vendors/repair services, etc.
*    Maintain/update listing of security codes for building and equipment
*    Maintain/update all executive office filing, including creation of new file folders, etc.
*    Maintain/update email addresses and email groups
*    Maintain/update fax numbers on broadcast fax system
*    Screen all executive office calls with the goal of helping the caller
*    Miami Medicine advertising, rate card, media kit requests
*    Other projects as may be assigned by the EVP
*    Must be proficient in MS Publisher, MS Word, Microsoft Outlook, Excel.

Requirements
  • Minimum 5 years previous experience
  • Proficient with Word, Excel, Publisher and  Outlook is a must.
