Description
Duke University's Fuqua School of Business is seeking qualified applicants for the position of Executive Assistant. The Executive Assistant assists the Associate Dean for Finance and Administration, the Associate Dean for Faculty Affairs, the Deputy Dean, and the Administrative Coordinator to the Deputy Dean with a variety of complex and confidential projects, events and administrative tasks to ensure the smooth management of the office. The Executive Assistant will be located in the Dean's office so a high level of professionalism, judgment, flexibility and discretion is required. The Executive Assistant will report directly to the Associate Dean for Finance and Administration; however, he/she will need to collaborate with various constituencies both inside Fuqua and outside. The primary constituencies inside are the Dean's office, Finance, Human Resources, Building Management office, R. David Thomas Center and Meriwether Godsey.
Responsibilities:
- Project management and events planning - coordinate complex projects and events that involve numerous stakeholders. Excellent organizational skills and strong relationship building skills are required. Work requires organizing meeting materials, organizing files and filing as well as juggling various delegated tasks in a very busy office environment.
- Managing and coordinating the schedules/calendars of the Associate Dean for Finance and Administration, the Associate Dean for Faculty Affairs and the Deputy Dean. Additionally serve as a first line of contact for individuals visiting these Deans.
- Liaison with University Administration including the Provost's office, faculty, staff and students. Also, public contact responsible for coordinating and resolving business issues.
- Understanding and interpreting departmental policies and procedures, making decisions on specific problems and issuing instructions in the name of the department and in accordance with departmental policies.
- Prepare high level, professional presentations and reports as assigned.
- Plan, coordinate and manage special events, conferences, large meetings and activities such as board meetings, orientation events, holiday parties etc.
Requirements
Skills and Qualifications
- Bachelor's degree required. Five years of successful administrative and project management experience, including meeting numerous deadlines and objectives and managing multiple concurrent projects with limited resources. Prefer demonstrated experience supporting high level, busy executives.
- Position requires superior computer skills. Advanced skills in Microsoft Word and Powerpoint are required. Intermediate skills in Microsoft Excel are required. Additionally the ability to learn new programs and technology quickly is essential to success in this position.
- This position requires superb communication, excellent organizational skills, attention to detail, sound judgment, flexibility and the ability to work independently in a team environment. This position is a direct link to the Fuqua community and other offices at Duke and must represent the school in a professional manner at all times.
- Refined written and oral communication and customer service skills.
- Strong work ethic in a fast-paced, results-oriented team environment.
- Creativity, adaptability and diplomatic skills
- Must have strong attention to detail.
- Prior event planning experience highly desirable.
- Demonstrated ability to manage multiple responsibilities simultaneously and gracefully in a fast-paced environment.
