Description Job Summary
The Office Manager aids the Managing Director in a staff capacity by analyzing and coordinating office services, including human resources, daily office operations, records control, coordination of technical support, purchasing and special projects.

Job Responsibilities/Duties
  • Responsible for the facilities day-to-day operations (e.g., mail, parking validations, office supply ordering, drinks/coffee ordering, Skyline building access passes, DSS office keys)
  • Human Resource Administration (in coordination with corporate Human Resources)
−    On/off boarding coordination
−    New hire and termination checklist maintenance
−    Employee PTO tracking
−    Training coordination
−    ECA and MS ID coordination
−    MS eSourcing Policy tracking
−    Candidate interview coordination
−    Employee contact list maintenance

  • PC/Laptop Administration
−    Computer inventory maintenance (purchase dates, assigned to, warranty info, licenses)
−    Refresh administration
−    Break-fix coordination and space PC allocation
−    Coordination and assurance that MS requirements are met (e.g., Bitlocker install, patch install, Win 7 install)
−    Coordination of regular PC backups
  • Policy Administration
−    Maintenance of DSS specific policies and procedures
−    Research of new policies and procedures for office, HR, PCs, etc.

  • Event coordination, including DSS off-sites, company meetings, and team building events
  • Coordination of monthly project audits (ensure it is being done on time)
  • Tracking of TCS hours and expenses
  • Office maintenance coordination (e.g., electrical work, telecom, ordering equipment and furniture, plants)
  • Audits of simple work requests (ensure fields are filled in, not content)
  • Travel coordination
  • Participates as needed in special projects

Requirements Knowledge, Skills and Abilities
  • Excellent written and verbal communication skills
  • Strong planning and organizational skills
  • Self-starter, willing and able to work in fast paced environment
  • Strong computer software knowledge (i.e., Word, Outlook, Excel, PowerPoint, SharePoint)
  • Expedience in office management capacity
  • Ability to lift up to 25 pounds

Required Education and Experience
  • Bachelors Degree or equivalent work experience is preferred
  • Minimum of 3-5 years of work experience in office administrative position
