We are currently seeking an experienced Records Manager/Conflicts Specialist to work for OBS at a prestigious Law Firm in Hartford, CT! ESSENTIAL DUTIES & RESPONSIBILITIES
- Manage the day-to-day operations of a client site location providing Office Services by establishing and implementing standard procedures for team operations, with responsibility of employee management, development and training.
- Act as a subject matter expert to both the client and the Office Services team.
- Provide leadership in a customer service intensive environment.
- Create a work environment where the Office Services team understands both OBS and client expectations, and work together to support each other and the organization.
- Responsible for staffing decisions, including interviewing, hiring, mentoring, and disciplining team members.
- Create, maintain, and enhance strong customer relationships across various levels of the client organization.
- Ensure timely completion of necessary administrative duties such as payroll procedures, invoicing and all required monthly management reports.
· Assist in the identification of potential conflicts of interest through corporate and conflicts database research of client and matter information provided by attorneys and support staff
· Proficient in understanding and utilization of conflicts of interest database; including, maintenance and update of the conflicts database;
· Research corporate history of clients and parties related to the former and new client work;
· Timely processing of all Conflicts requests, including searching the firm's database and secondary sources for conflicts of interest;
· Open new matters, including assigning new client/matter numbers and managing timekeeper restrictions and billing exceptions;
- General administrative duties including proofreading and filing; and
- Assist with other duties related to the resolution and clearance of the conflicts of interest issues as assigned.
- Performs other related duties as assigned
Requirements
· Managerial experience, preferably in Office Services or similar field.
· 3-5 years exp. in a Legal Records position working in a large law firm environment is required.
· Exp. with Elite, Legal-Key, Fileserver or other Records Mgmt. Software is required.
· Proven track of successfully supervising, developing and training staff.
· Ability to articulate your ideas and motivate the Office Services team to execute them to your satisfaction.
· Solid understanding of procedures, software and equipment utilized in reprographic, mail and records services.
· Demonstrated ability to execute process improvements.
