Description

The Administrative Assistant to the General Manager compiles and maintains records of Plant activities for the General Manager by performing the following duties 

  • Prepare and collect Daily Production summaries for General Manager (GM)
  • Maintain GM meeting schedule
  • Answer questions regarding Plant activities
  • Gather weekly financial reporting information for Corporate
  • Prepare information for weekly GM meeting
  • Send weekly highlights summary to Corporate
  • Prepare for staff manager’s meeting (sales, quality, delivery, overtime, production efficiencies, etc.)
  • Assemble and prepare Monthly Operations Review for VP’s at Corporate
  • Prepare monthly package for Corporate (20+ measures)
  • Prepare Plant meeting calendar.
  • Prepare quarterly review for Corporate
  • Prepare plant wide meeting presentations
  • Assist with Open Communication meetings
  • Collect and prepare Annual and 5 Year Business Plans
  • Track vacation time of Staff Managers
  • Relay and announce visitor and tour notices
  • Administers Production and Administration forms
  • File and monitor confidential mail from associates to GM
  • Maintain master list of forms for plant
  • Operate computer terminal to input and retrieve data
  • Punctual and regular attendance is required
  • Able and willing to work any shift assigned
  • Maintain a high level of confidentiality in all duties
  • Keep work areas clean and orderly
  • Participate in continuous improvement activities
  • Front office and telephone coverage as needed
  • Assume other duties as directed by supervisor
Requirements

  Ability to work with the following software packages or programs:

  • Microsoft Office at an intermediate to advanced level
  • Microsoft Project at a beginning to intermediate level
  • Effective email and electronic communication skills are required

       
 Ability to work with the following data base programs and/or hardware:

  • MQ1 database at a basic level
  • QAD database at a basic level

 

  Ability to operate office machinery such as the following:

  •  Fax machine

  • Copier
  • Standard office equipment

  
Education And/Or Experience:

  • High School Diploma or general education degree (GED)
  • One to two years related experience and /or training; or equivalent combination of education or experience.

 
Certificates, Licenses, Registrations:

  • Valid and current driver’s license with and acceptable record
