We are currently seeking a Records Manager to join our growing Legal department. The main function of this position will be to provide overall management and direction, of the company records program in accordance with all local, state, federal and international laws and regulations. Responsible for all activities connected with the life cycle of records including the development and implementation of active physical/electronic filing systems; the preservation and storage and disposal of inactive records. Responsible for establishing uniform standards, procedures and processes for security, maintenance, preservation, and disposition of all corporate records. Update and distribute records schedules to records custodians and other relevant staff. Other related duties may be assigned, including some general administrative duties. Additional responsibilities include:
- Oversee a strategic records management program that ensures compliance with federal and state law, corporate policy and procedure and financial and regulatory accountabilities.
- Lead the review, implementation and enforcement of risk-based, corporate-wide records policies applicable to all locations; including those for storage and retrieval of active, inactive and permanent records, protection of essential (vital) records, and preservation of historically valuable records.
- Analyze and evaluate records management throughout the company and recommend cost effective improvement strategies; promote and foster systematic and efficient records and electronic management initiatives.
- Administer inventory audits of physical and electronic records to ensure compliance with standards and policies.
- Revise existing records retention schedule and mandated records management policies and procedures in accordance with state and federal law and current best practices.
- Research and track changes in legal and operations requirements for records and creating and implementing retention policies and schedules in accordance with such requirements.
- Manage onsite/offsite records and media storage.
- Create and maintain databases for the control and retrieval of information.
- Identify records eligible for destruction and carry out destruction in accordance with corporate policy and state laws and stop destruction when litigation or legal hold is initiated.
- Develop and conduct instructional programs and train management and employees in sound records and electronic management practices.
- Establish working relationships with business partners to ensure compliance with Records Management program and identify areas for enhancement.
- General Administrative Activities such as: Respond to general inquiries, incoming and outgoing mail, Maintain office supply inventory, and act as liason for the legal department with technology support services
Requirements
The most competitive candidate will have the following skills:
- Requires a Bachelors degree in Business, Library/Information Science or related field, or related experience and/or training.
- Minimum three (3) years experience in establishing records management programs; writing policies and procedures, evaluating automated records management systems; developing and conducting training on records management; analyzing current program and systems. Experience with EDMS and ERM systems.
- Experience with records management software, preferably Hummingbird (OpenText).
- Demonstration of effective oral and written communication skills.
- Self motivation and ability to work independently.
- Ability to plan and organize work.
- Ability to perceive and analyze problems, develop alternatives and make or recommend sound decisions.
- Ability to coordinate resources for all tasks and projects.
- Maintenance of professional status through membership in professional organizations, literature review and specialized coursework.
- Thorough knowledge of retention schedules, with ability to conduct records retention research considered a benefit.
- Knowledge of technology applications relevant to retention scheduling.
