Clinic Operations Supervisor Summary:

The Clinic Operations Supervisor is responsible for providing leadership and guidance to the Pre-Certification, Clinic authorization, and Secretarial staff. The Clinic Operations Supervisor will be responsible for maintaining a smooth flow of communication between, patient, physician, and secretary, as well as ensuring all clinic authorizations and surgery precertifications are obtained in a timely and efficient manner.


Responsibilities of Clinic Operations Supervisor Include:

  • Provide leadership and guidance.
  • Keeps the Clinic Operations Manager informed of any problem, issues or concerns with any department that may need further attention.
  • Act as a back-up to ensure there is adequate coverage during high patient volume, employee absences and mealtime.
  • Holds bi-weekly meeting with the clinic authorizations, surgery precertification and secretarial departments.
  • Distributes work among staff members and ensure is complete.
  • Handles patient compliant/issues as they arise.
  • Assists Manager in ordering of office supplies.
  • Develops, establishes and implements the departmental policies and procedures.
  • Oversees the training of the Secretaries, Pre-Certification Counselors and Collectors, and the Clinic Authorizations Representatives.
  • Ensures all Clinic and Surgical Authorizations are obtained prior to the date of services.
  • Maintains and updates the Post Clinic Services Departments Job Function Manuals and Hats.
  • Conduct department meetings related to updating or changing information.
  • Conduct evaluations, counseling on employees’ performance, ensuring that all employees re properly trained.
  • Conducting interviews with potential candidates when applicable.
  • Communicate effectively with staff, physicians and administration.
  • Travel to satellite locations.
  • To utilize all accessible resources to achieve goals.
  • All other duties as assigned.
Requirements
Clinic Operations Supervisor


Requirements for Clinic Operations Supervisor:

  • Candidate must be a High School graduate.
  • At least five years experience in the medical field dealing with surgery scheduling, hospital or clinic procedures, and medical terminology with knowledge of CPT, ICD9 coding.
  • Must be multi-tasked, organized, and a self motivated individual.
  • This person must have excellent verbal and written communication skills along with strong computer skills and knowledge, to include, IDX, WORD, and EXCEL programs.
