The Company’s portfolio primarily consists of technically sophisticated buildings in visually appealing settings that are environmentally sensitive, sustainable and meet unique customer requirements.


We are currently seeking an "Administrative Assistant I" for our

Hunt Valley, MD location:

Position Summary:

Provide general administrative support to the organizational unit.  Facilitate communication between internal contacts, vendors and tenants.


Administrative Assistant I Primary Responsibilities:

1.  General Administration.  Performs administrative responsibilities including (but not limited to):  screening and directing communications, creating correspondence, maintaining filing system, scheduling meetings, maintaining calendar and organizing travel as needed.  Prepare leasing proposals and forms; maintain lease files and leasing commissions process, and create broker presentations and presentation files.  Maintain office equipment and office supplies.

 

2.  Accounting.   Assist with processing, coding, scanning and tracking invoices/ requisitions for review and approval.  Prepare and submit expense reports for manager.  Create reports as requested.

 

3.  Meetings / Event Planning.  Coordinate, organize and set up staff meetings, company events and marketing events for brokers.


Secondary Responsibilities:

1.  Provide assistance to other department personnel and back up support as needed.

 

2.  Troubleshoot IT issues with IT department.

 

3.  Perform other job related duties as assigned.

Requirements Administrative Assistant I Requirements:

 

1.  High School Diploma or equivalent.  College coursework or degree preferred.

 

2.  Minimum of two years of administrative experience.  Commercial Real Estate experience preferred.

 

3.  PC proficiency including Microsoft Office applications (Word, Excel, Outlook, Powerpoint etc.) and ability to learn company specific software.

 

4.  Ability to adapt to new or changing software programs.

 

5.   Ability to organize and prioritize work to meet deadlines.

 

6.   Ability to initiate and follow through on work independently.

 

7.   Intermediate proficiency with Microsoft Word, Excel and Power Point.

 

8.   Excellent proofreading skills.

 

9.   Excellent written and verbal communication skills and a strong phone presence. 

 

10.   Ability to handle internal and external calls.

 

11.   Proficiency with office equipment.
