Description

The Department of Family Medicine seeks an experienced, forward thinking individual to provide support for the Chairman as an Executive Administrative Assistant.  This position operates within a dynamic environment surrounded by clinical, teaching, research and administrative activities.  Our department interacts regularly with many other units of the medical system and has a highly diverse faculty and staff.  The successful candidate will operate as part of the Senior Administrator and Chairman’s administrative team. This position will support other faculty members.

Duties will include:

  • close coordination with the Chair to manage meetings, calendars and priority    commitments
  • managing office communications, including direction of all correspondence, responding to and screening  phone & in person inquiries.
  • gathering, organizing and preparing information for meetings, presentations and committees including  determining best methods for graphical representation (tables, charts, etc.).
  • writing text for memos, letters and reports on behalf of the Chairman
  • performing special projects of a highly confidential and highly skilled nature
  • coordinating department-wide projects and events
  • processing faculty appointments and promotions
  • coordination with the development office for alumni newsletter preparation
  • databases maintenance and reconciliation
  •  and other duties as assigned.
Requirements

Job Requirements

Qualified applicants will possess:



  • H.S. diploma or equivalent (GED)  preferred
  • college education or formal training preferred
  • over 5 years related office experience
  • proven track record and experience with supporting an executive is required
  • accurate typing and data entry skills
  • must have excellent writing and grammar skills
  • excellent organizational skills
  • ability to work independently and exercise discretion
  • experience in transcription and dictation
  • ability to work in a high stress and fast paced environment
  • must be proficient with Microsoft Office Suite products (Word, Excel, PowerPoint, and Outlook).
