GENERAL SUMMARY OF DUTIES -
The primary responsibility is to direct, plan and coordinate the operations of the clinical and front office functions of a practice while ensuring patient satisfaction.

 

DUTIES INCLUDE BUT ARE NOT LIMITED TO:

1.       Performs selected nursing and administrative duties.

2.       Assists front office and clerical staff in developing and implementing short and long-term work plans and objectives.

3.       Oversees the process to prepare patients for examination and treatment.

4.       Screens telephone calls for referral to physicians.

5.       Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary to ensure appropriate staffing levels are maintained.

6.       Assists with scheduling of tests and treatment.

7.       Identifies, analyzes, and resolves work problems.

8.       Assists in the recruiting, hiring, and development of the clerical and clinical staff.

9.       Ensures office and clinical supply inventory is current, mail is opened and processed, offices are opened and closed according to established procedures.

10.    Ensures the timeliness and accuracy of patient charge entry into the billing system.

11.    Assists front office staff with ensuring point-of-service collections are made when applicable.

12.    Ensures that patients are treated courteously by the office staff and that other visitors are screened and properly directed.

13.    Replenishes clinical and office supplies when necessary.

14.    Works with other administrative staff to ensure efforts are coordinated and high quality patient care is provided.

15.    Assists in maintaining patient files, records and other information.

16.    Compiles and condenses technical and statistical data for reports and records.

17.    Ensures any patient complaints are handled appropriately.

18.    Participates in professional development activities.

19.    Maintains strict confidentiality.

20.    Conducts staff meetings regularly.

Requirements

KNOWLEDGE, SKILLS AND ABILITIES - This position requires the following minimum requirements:

1.       Knowledge of organizational policies, procedures, systems and objectives.

2.       Knowledge of clinic office procedures.

3.       Knowledge of medical practice and care to assist in giving patient care.

4.       Knowledge of examination, diagnostic, and treatment room procedures.

5.       Skill in assisting in a variety of treatments and medications as directed.

 6.       Skill in taking vital signs.

7.       Ability to use computer systems and applications.

8.       Familiarity with medical practices terminology.

9.       Ability to use proper grammar, spelling, punctuation and sentence structure to answer correspondence and prepare reports.

10.    Ability to plan, organize, delegate and supervise.

11.    Ability to evaluate the effectiveness of existing methods and procedures.

12.    Ability to operate various office equipment.

13.    Ability to communicate effectively with patients, clinical and administrative staff, and the public.

14.    Ability to interpret, adapt and apply guidelines and policies and procedures.

15.    Ability to react calmly and effectively in emergency situations.

  

  

EDUCATION - A High School diploma or GED is required.  Graduate from a recognized training facility for medical assistants, and course-work in health care office management are preferred.

 

EXPERIENCE - 2 -3 years experience managing  

CERTIFICATE/LICENSE - A  degree in Business Administration or Healthcare Administration is preferred.  RMA, CMA or LPN certificate is beneficial.  CPR Certification.
