Description

Summary:   Responsible for the timely distribution of all incoming mail as well as expediting all outgoing mail on a daily basis. Also responsible for processing all inquiries within a timely manner, and coordinating postage costs and inventory. Assist with special admissions events, coordinate the execution of direct mail and bulk mail projects, and oversee the provision of clerical/administrative support.


 

Key Job Elements:

  1. Supervise the activies of the Mailroom Coordinator / Inquiry Processor.

 

  1. Process and distribute all computer generated inquiries in the same day, all others within the same week. Maintain a "clean inquiry base" by monitoring it for duplicates and unworkables.

 

  1. Distribute all incoming mail and faxes to all department boxes; process all out going mail according to postal regulations.

 

  1. Responsible for the execution of direct mail and bulk mail projects. Generate and mail all letters and labels to inquiries on a daily basis

 

  1. Keep all postage equipment in good working order and keep an accurate log of all departments postage cost, reconciling accounts daily/weekly/monthly.

 

  1. Generate and distribute reports for Admissions/Sales professionals daily including: To Do List, Uncontacted Inquiry Reports, Appointment Calendar, and others as needed.

 

  1. Fill requisitions of publications on a weekly basis for Admissions, and on a monthly basis for other departments as well as maintain an inventory of publications.

 

  1. Responsible for all printing and supply needs as well as delivery of forms and ordering items.

 

  1. Receive and store all incoming shipments on the same day - provide accurate inventory totals.
Requirements

Job Requirements (Knowledge, Skills and Abilities):


a) Bachelor's degree preferred.
b) Three years of experience with basic office and mailroom equipment, copy machine, postage, etc., preferably in a post-secondary institution.
c) Clerical support experience highly desired although not required.

 

Skills:
a) Excellent written and verbal communication skills.
b) Strong interpersonal skills with both faculty and staff populations.
c) Superior organizational and problem resolution skills.
