GENERAL SUMMARY:
This position is responsible for entering
employee data into HR System (UltiPro) in a timely manner, in accordance with
service level guidelines, and ensuring the accuracy and integrity of employee
data and personnel records. Maintains and updates human resource information
systems (HRIS) in support of HR administration and projects. Generates,
maintains and distributes scheduled and ad hoc HRIS reports as needed. Answers
telephone inquiries and responds to employee questions/concerns with sense of
urgency and customer service. Responsible for protecting employee confidential
data. Regularly audits HR Systems for discrepancies. Works with HR personnel in
resolving any data issues. Performs other related duties and helps with special
projects as required. Experience in HR and/or payroll strongly desired.
Extremely accurate data entry skills. Strong attention to detail. Excellent
telephone and oral communication skills. Great organizational skills. Ability to
multi-task and meet tight deadlines. Proficient in Word and Excel. High level of
interpersonal skills to handle sensitive and confidential situations and
documentation. Ability to maintain a high level of confidentiality and be a team
player.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Data and File Maintenance - Performs data entry for all HR transactions
including new hires, terminations, promotions, etc. in UltiPro in accordance
with Laureate policy guidelines. Functions as laison with Human Resources,
Information Technology, Payroll, Finance and other groups on HRIS related
matters. Creates and maintains employment files.
- Auditing - Responsible for maintaining the highest level of data integrity
by conducting data audits and making data entry changes. Works with client
groups to identify and resolve data issues.
- Reporting - Generates and distributes scheduled HRIS reports in timely
manner. Works with client groups to define reporting needs; identifies issues
with existing audits and reports; creates ad hoc queries in Impromptu to
provide data for audits, analysis and other purposes; maintains reporting
naming conventions and quality standards; ensures security of all data
provided to client groups. Supports data auditing and analysis for regulatory
reporting for EEO-1, Vets, etc. Provides appropriate information to external
solicitors/agencies for verification of employment in accordance with Laureate
policies and procedures.
- Client support - Responsible for client support for HR systems including
problem resolution, and business policy and procedure support. Follow-up and
track employee data forms with appropriate personnel.
- HR system support and maintenance - Troubleshoots HR systems and
interfaces; logs issues with Ultimate as appropriate, works with HRIS Manager
and technical resources to design, develop, test and implement resolutions.
Supports design, testing and implementation of new interfaces. Identifies and
resolves system or process issues and up levels as necessary
- Documentation - Creates and maintains documents for HRIS procedures for
all system updates and maintenance including all employee level transactions
performed in UltiPro. Works with appropriate groups within Laureate to define
procedures for HR processes that involve systems. Uses flow charts, screen
shots and step-by-step instructions to document HR system
usage.
Requirements
EDUCATION and/or EXPERIENCE:
- Requires Bachelor's degree
- Requires 2-3 years experience in HRIS or similar role
- Requires exceptional interpersonal, problem-solving and communication
skills
- Requires working knowledge of UltiPro or an equivalent HRIS
- Requires technical aptitude and attention to details
- Requires excellent time management and organizational skills
- Requires customer service mindset
