Provide administrative and marketing assistance to office management team, as well as office staff. Maintain office facilities.Administrative duties may include: preparing and processing employee expense reports; processing accounts payable; printing, copying and scanning documents; filing; monitoring and ordering all office supplies including copier/printer/fax paper and toner; setting up for and cleaning up after meetings in conference rooms; kitchen duty (keeping area tidy, dishwasher, coffee machine); Staff meetings and socials (supplies, setting up, cleaning up); making travel arrangements for employees; maintaining office calendar; scheduling conference rooms; checking out and monitoring shared resources; running office errands as required; answering phones; monitoring and distributing faxes; distributing office mail and taking out daily mail; scheduling appointments; making arrangements for conferences and meetings and assemble materials as directed; providing back-up for processing timesheets; ensuring that office space is safe and clean; contacting building management for all facilities issues; maintaining paper office and project records.

Marketing duties may include:  assisting with pulling together documents for proposals, qualifications packages, and presentation materials. Collecting and assembling incoming text and graphics as well as printing, collating, and binding proposals as necessary. Maintaining proposal files, both electronic and hard copy.

Support to staff:   responsible for creating and formatting spreadsheets in MS Excel; inputting data; providing word processing and proofing in MS Word; developing presentations in PowerPoint; and assisting with production needs. An additional capability in accounting, graphic design (In- Design) and web-site management is highly desirable. Successful candidate must be friendly, resourceful, self motivated and able to manage multiple tasks in a time efficient manner.Education:
Bachelor degree preferred but not a prerequisite.Experience:
Minimum two years experience in an office setting.Skills:
High level of proficiency with MS Word, including ability to navigate documents, format, create tables, track, merge, insert from other programs, etc. Proficient use of entire Microsoft Office suite of software. Excellent verbal and written communication skills. Professional telephone manner. Good organization and ability to multi-task. Attention to detail.
