Analysts International is seeking strong candidates for an Administrative Assistant with our Direct Client in Georgetown, KY. This is an ongoing contract - long term. Administrative Assistant – Provide support for the Information Systems division, including scheduling meetings and conference rooms, distributing mail, report creation, ordering office supplies and coordinating travel.
Responsibilities include:
Manage a very busy calendar for Site services of Information Systems. Coordinate all meetings, gather appropriate materials beforehand, prepare PowerPoint presentations and proactively follow up on miscellaneous requests.
Remedy Tickets for cell phones upgrades and new users
Remedy Tickets for pagers
Remedy Tickets for Equipment (HDMI cables, Monitors, card readers, Headsets….)
Requests to order needed IS equipment for all levels
PCARD for accounting
PR request and blankets
Top 25 ATT
Toshiba & Dell bi-weekly meeting (phone)
Software request orders
Special Projects
USB drives
Meeting room approvals
Collecting equipment from those who are no longer with the company
E-mail/phone request from users who have questions or needs
Work with team on issues….. phones and other items
Printer team support (as needed)
Setting up delivery needs for items coming in. Making sure that items are found and track to be delivered.
Contacting outside departments requesting help as needed (PCARD, signs, repairs on site, accounting)
Handle most returns and exchanges
Maintain the 'Items not in Remedy' data entry (Closed- Hey You tickets)
Monthly reporting generation. (Standard Site report)
Procurement queue management.
Pay Insight bill.
Level 2 support, as needed.
Requirements:
Five to seven years of executive level administrative support.
Excellent communication and facilitation skills to establish relationships with Information Systems management and other team members.
Deal with confidential information on a daily basis.
Intermediate to advanced computer skills with all MS Office applications; MS 2010 preferred
Strong communication skills, both written and verbal
The ability to handle multiple tasks at once, adapt to change easily and take initiative on follow up items as well as miscellaneous tasks
Works well under pressure with competing priorities
Strong problem solving skills
Ability to work well with others in a very strong team setting.
